Terms & Conditions

What to Expect When You Plan With Us

Important note: These terms outline our service policies. They are not legal advice. If you have any questions, please contact us before booking or approving any planning work.

1. Overview

Lead Better Adventures provides custom Arizona itinerary design and optional booking support. These terms apply to all three service levels: The Itinerary, Itinerary + Adventures, and The Complete Plan.

The primary difference between the service levels is how much legwork we handle. Every planning client receives the same 2 revisions and the same initial delivery timing.

2. Service Levels

  • The Itinerary - A custom day-by-day plan with recommendations. You handle all your own bookings.
  • Itinerary + Adventures - A custom itinerary plus curated and confirmed activity bookings. You handle lodging, dining, and transportation.
  • The Complete Plan - A fully planned and booked Arizona trip including activities, lodging, dining, and transportation, plus on-trip support.

3. Planning Fees & Revisions

  • The planning fee is non-refundable and pays for the design work, whether or not you book the trip.
  • Every planning package includes one initial itinerary and two revisions.
  • A full overhaul or pivot to new destinations counts as one revision.
  • Additional revisions beyond the two included may be billed separately or require a new planning engagement.
  • The initial itinerary is delivered within 48 hours of receiving complete trip details. Revisions are turned around within 24 hours of receiving feedback.

4. Bookings & Payment

  • Booking and execution work does not begin until the itinerary is approved and the planning fee is paid.
  • To make any reservation on your behalf, we need your credit card information and any required booking credentials for the relevant vendors or platforms.
  • We do not charge client expenses to our own accounts. All third-party costs are paid directly with your payment method.
  • We make reservations only where it is practical and appropriate. Some casual dining, quick stops, or flexible transfers do not need advance bookings.
  • You approve all estimated costs and bookings before we lock them in.

5. On-Trip Support

On-trip support is available for the components we booked. This means:

  • For Itinerary + Adventures, support covers the activities, tours, and experiences we booked.
  • For The Complete Plan, support covers any itinerary component we booked: activities, lodging, dining, or transportation.
  • If a booked component is canceled, delayed, or otherwise disrupted, we will do our best to help you find a replacement, rebook, or adjust the plan.
  • On-trip support does not include roadside assistance, vehicle breakdowns, flat tires, medical emergencies, or other personal issues outside the booked itinerary.
  • We cannot refund or recover costs if you are late or a no-show for a booked reservation.

6. Cancellations, Changes & No-Shows

  • The planning fee is non-refundable because it pays for design work already delivered.
  • Third-party cancellation, refund, and change policies are controlled by the individual vendors and outfitters.
  • If you are late or a no-show for a booked activity, lodging, dining, or transportation reservation, we cannot recover those costs for you.
  • We will help you communicate with vendors when possible, but we are not responsible for vendor penalties or their refund decisions.

7. Travel Insurance

We strongly recommend that all travelers purchase travel insurance, trip protection, or medical coverage appropriate for their activities. We do not provide travel insurance, and we are not responsible for costs related to illness, injury, weather, flight delays, or other events outside the booked itinerary.

8. Liability

  • We are not a tour operator, travel agency, or insurer. Our role is to design itineraries and, at the higher service levels, assist with booking and coordination.
  • We are not liable for the performance, safety, quality, or cancellation policies of third-party vendors, outfitters, hotels, restaurants, or transportation providers.
  • We are not responsible for injuries, losses, damages, or delays caused by weather, road conditions, vendor errors, or events outside our control.
  • You are responsible for following vendor rules, safety instructions, and meeting times for any booked activity.

9. Availability & Acceptance

The Complete Plan is available in limited quantities each month to ensure every client receives adequate attention. All clients must accept these terms before planning work or booking begins.

By submitting a planning request, paying the planning fee, or approving bookings, you agree to these terms.
